The Boathouse Palm Beach canapé function can hold up to 150 guests.

Duration 

All functions at the Boathouse Palm Beach has a duration of 5 hours from 6pm only.

Function days

You can choose any week day or Saturday night for your function at The Boathouse. We do not offer Sundays or public holidays.

Deposit, payment + agreement form

To confirm your booking we require a initial security deposit of $3000.00 (credited towards the final account) and a signed + completed copy of the Security + Agreement Form. This is required within 7 days of making the reservation.

The Boathouse holds the right to cancel any bookings not held with a deposit security and completed Security + Agreement Form.

50% of the minimum spend is due 60 days before your event (credited towards the final account). Therefore for the minimum spend of $15,000.00, the invoice will total $7500.00. If your minimum spend is $10,000.00 the invoice will total $5000.00. Full payment for your event is due 14 days prior to the event date, no later.

The deposit + pre-payment paid will be credited off the final invoice.

Payment by cash, direct debit or bank cheque incurs no surcharge.

Any payments made by credit card incurs a 2% surcharged - M/Card and Visa only.

Any extra charges or outstanding additional invoices must be paid in full prior to departure at the end of your reception. Payments can be made by Visa or MasterCard (2% surcharge for anything $500.00 or more ), Cash or Bank Cheque.

The Boathouse Charge

For any function held at the Boathouse Palm Beach, $3500.00 is charged. This includes exclusive use of the Boathouse, cost of team and styling.

Final numbers and menu selection 

The guaranteed number of the guests attending the function is required at least 21 days prior to the event for catering and staffing needs. Once final numbers are given this will be taken as confirmed. The final invoice will be issued to you 21 days prior to your event. 

Catering will be provided for this number and this will be the minimum charged irrespective of last minute cancellations.

All final food + beverage selections are also required at least 21 days prior to the function.

All food is subject to seasonal change, however notification will be given for this.

Minimum spend

A minimum spend for a Friday or Saturday evening Function of $15,000.00 is required for any function held at the Boathouse Palm Beach. The minimum spend for a Monday-Thursday wedding is $10,000.00. Should your guest numbers fall short of the minimum spend, the full minimum tariff will be charged. The Boathouse Charge amount of $3500.00 can be used to make up the minimum spend amount.

CANCELLATION POLICY

Whilst we understand, due to unforeseen circumstances, it may be necessary to cancel/postpone your function, the following must apply:

All cancellations or change of date incur a loss of full deposit. No credits will be given for change of date or for the general cafe trade.

Any cancellation made 60 days or less prior to your event, will incur a loss of 50% of the minimum spend.

All cancellations made within 14 days of your event will incur a loss of all monies due as stated on your invoice. Cancellations must be confirmed to The Boathouse in writing.

Due to unforeseen circumstances, extreme weather conditions or accidents, The Boathouse reserves the right to cancel any booking and refund any deposit or payments made.

ADDITIONAL (SUPPLIER) MEALS

A main meal for entertainers, photographers and videographers must be supplied @ $60.00 per head.

UNDER 18'S MEAL

The charge per head for guests under 18 years including the food menu package + drinks is $60.00 per head. For kids requiring children’s meals + drinks, the cost is $25.00 per head. For little ones requiring no food or beverages there is no charge.

PRICES

The Boathouse Palm Beach makes every effort to maintain prices, however they may be subject to alteration prior to your function due to food and beverage price increases. However we will guarantee that any increase will not exceed 7% of your chosen package. All prices are inclusive of GST.

SECURITY

Organiser/Hosts are finically liable for any damage sustained, or loss incurred to The Boathouse property, fixtures or fittings, through their own actions, those of their guests, sub-contractors and contractors.

Credit Card details are required at the time of your booking to cover any damages that may occur. The Security + Agreement Form will be supplied to you on the day of your booking to fill out and return to the Event Coordinator within 7 days.

Credit Card details are the only form of security accepted.

ALCOHOL AND DECORUM

The Boathouse is a fully licensed venue. No BYO beverages are permitted. It is your responsibility to ensure the orderly conduct of your guests. All beverages are subject to seasonal change however notification will be given for this.

DUE CARE

Whilst our staff will take care, no responsibility will be taken for damage or loss of goods, equipment or merchandise left on the premises prior to, during or after the function. The following items are not permitted at your function: wax candles, confetti, rice, streamer poppers, flower petals, or sequin type scatters eg. stars, hearts.

PUBLIC LIABILITY INSURANCE

The Boathouse Palm Beach does hold public liability insurance HOWEVER all external suppliers will be required to have their own Public Liability Insurance. The Boathouse Palm Beach public liability insurance is very specific to our venue and fit out. No harm or damage to guests caused by any external supplier equipment, styling decor, furniture or goods are covered by The Boathouse Palm Beach.

CLEANING FEE

A cleaning fee will be charged, at the discretion of Management, should the venue premises be left in an unacceptable state.

DECOR + STYLING

All major furniture items, fixtures + fittings must remain as styled + positioned by The Boathouse.

The Boathouse together with Collective Events, offers an additional styling service to suit your wedding or function. Please contact us for theming ideas and a quote.

EQUIPMENT HIRE

The Boathouse has established relationships with professional hire companies and recommended suppliers to look after all your equipment needs and services. Please contact us for a quote based on your requirements. All marquee hire + dance floor hire is done through The Boathouse only. 

EXTERNAL CONTRACTORS

All external contractors and hire must be advised to The Boathouse 14 days prior to your function and are subject to approval by management. The Boathouse can apply limits or time restrictions on the contractors.

ENTERTAINMENT/MUSIC

The Boathouse Palm Beach is only too happy to offer some suggestions for your music entertainment. All equipment must be supplied by your hired band or DJ as The Boathouse does not have facilities for this. Whilst we understand that you are wanting music at your function, music sound levels must be kept at a particular pitch level. Please ask that the band/DJ to contact our team to confirm this level.

DECORATIONS

Nothing is to be nailed, screwed, blue-tacked or adhered in any way to any wall, door or other part of the Boathouse.

All decorations must be approved by the Function Coordinator prior to the reception.

TASTINGS

The Boathouse Palm Beach does not offer food or beverage tastings.

However, the menus at both of our cafes, The Boathouse Palm Beach and The Boathouse Balmoral, reflect the style we bring to suit your wedding or function.

SMOKING

In accordance with the NSW Health and Hygiene laws, smoking is prohibited within The Boathouse, the marquees and surrounding areas.

Guests will be directed to a designated smoking area outside.

GRATUITY

Gratuities are discretional and are appreciated by The Boathouse staff.

INDEMNITY

The Boathouse Palm Beach guarantees the use of the freshest ingredients and ensures that food is prepared under the most hygienic conditions. However no liability is taken by The Boathouse Palm Beach for any latent defect in any product used.

FOOD ALLERGIES

Please advise details of guests with food allergies when confirming final numbers. Whilst the chef and kitchen staff will do their utmost to ensure the said allergen is not in the meals prepared, we cannot guarantee it as our kitchen does use a wide variety of ingredients on a daily basis.

surprises

The Boathouse Palm Beach cannot be held responsible for the outcome of any surprises to be held and organised prior to, on or after your wedding/event day that has been organised by the bride, groom, party host, friend or family member known to the hosts. The Boathouse Palm Beach will do everything it can to ensure that any special surprises or organised presents unknown to the party hosts can be carried out.

Fireworks

The Boathouse Palm Beach does not allow fireworks within it's venue, on the wharf and decking areas, and within the surrounding area. The Boathouse lies closely to petrol lines due to the businesses either side of us - the boat hire company and seaplane office. Without knowledge of Fireworks The Boathouse Palm Beach will charge a $2000.00 fee for breach of this. Fireworks organised without maritime + council knowledge, holds much heavier penalties.

Early Arrival of Guests

The Boathouse Palm Beach weddings + events begin strictly at 6pm. For any guests arriving early and before this time, a surcharge will be charged to your Credit Card. The fee for this is $500 + $15.00 per head for every half an hour guests turn up early at The Boathouse.

The above fee will apply to ALL guest that attend your wedding or event (total number of guest on your Final Details form), not just the early arrivals.

The above fee will be charged immediately when guest arrive early that day.
